Statement of Work
Are non-compliant Statement of Work documents costing you money?
Creating a Statement of Work (SOW) document that addresses both the customer’s individual work requests and an organization’s legal requirement to form a final binding contract is difficult and costly if you get it wrong.
Depending on the organization, the complexity of the SOW may vary, however the need for a tailored, yet legally compliant and consistent SOW is vital in business today. These documents are time consuming and complex to compile, making them highly susceptible to human error, in part due to the number of steps involved in the process
SOW documents are ideal for automation, as they generally follow a set assembly procedure that contains the following information:
- Statement of Purpose – Why the organization has written and presented this document
- Work to be Performed – A short description of the work to be done, including specific details contained in the work order – hardware, software and configuration
- Project Timeline – An outline of start and finish times of individual projects within the SOW
- Deliverables – Overview of the deliverables and due dates
- Customer Acceptance – Stating the processes for testing, delivering and handing over the project to the customer
- Special Requirements – Specifying any special requirements or assumptions with the SOW – ie travel, staff allocations
- Payment Schedules – Statement of how this contract will be paid – i.e. project based, timeline on handover
- Additional Comments – Items that may be overlooked if not mentioned in the SOW and may become sticking blocks in the final handover

Dynamics Work Portal
Embedded within the Dynamics ribbon is the Intelledox workflow trigger (highlighted above). With a single click, the user will be guided by the Intelledox dynamic web form (wizard) through the SOW process until completed.
Embedded Intelledox Smart Web Form
The Intelledox wizard appears in the Dynamics CRM portal. The look and feel of the wizard can be designed to meet your corporate design. Corporate Messaging can be displayed on the initial screen to keep users informed of any process updates.
Screenshot of the Intelledox Smart Web Form (wizard)
The Intelledox wizard is presented as a dynamically generated form (as above). The form only displays questions that are relevant to the task that you are performing - in this case you can see the project schedule and assumptions. Customer information is pulled and pushed between the Intelledox wizard and Dynamics CRM to ensure that the latest client details are always used.
Document is stored in Dynamics CRM
After successfully completing all the required tasks in the Intelledox wizard, the final output - SOW Documentation - is generated and stored directly in to Dynamics CRM, with all the associated metadata required for your organization's compliance policies. The act of Intelledox automatically storing these documents to Dynamics CRM can trigger corresponding workflows to ensure that the entire business – Finance, Operations Managers, Logistics - is involved or informed of the upcoming transaction.
Example of the generated document
As an example, this SOW document was generated in Microsoft Word format for final processing. Intelledox can also generate and store a locked PDF or PDF/a version to ensure document integrity as it passes between the customer and various departments. The final generated document is personalized and populated with the latest client and consumer content from the CRM or other related data repositories.
