PDF/A Format
Future proof your knowledge
Have you ever considered how people are going to read the document you are working on right now in 20 years? Legacy documents are not normally considered when upgrading software or hardware, especially if the documents were saved 5 years ago. However there are a number of International Standards (ISO) that have been defined to help you deal with this precise issue.
Intelledox can generate PDF/A documents that are designed to meet these ISO standards, allowing you to achieve long term archiving requirements. The Intelledox rules engine can also assist in the enforcement of your archive procedures, by automating the storage of these PDF/A documents directly into your Electronic Document and Records Management System (EDRMS) with all the associated metadata required to ensure compliance with your company's policies.
What is the PDF/A format?
The PDF/A document has been designed for long term document storage and archiving (defined by ISO:-19005-1 2005). This standard describes the key components of a document that are required to ensure that the document can be reproduced exactly in years to come just as creator intended. To comply with the standard a PDF/A document has to be 100% self-contained, meaning that all the components to display the document must be embedded within the file container - eg. text, Images, fonts, and color information.
The following key elements are removed from a standard PDF formatted document to create the PDF/A format:
- Audio and video content.
- Hyperlinks and external information sources.
- JavaScript and executable file.
- Encrypted information.
- External content references
- LZW and JPEG2000 image compressions.
- Embedded files.
Removing these elements ensures that all the key components are stored in the single document container (PDF/A file) for later viewing.
